Feature Overview: Bulk User Import Tool


Audience:

Site Administrators, Implementation, Support, Customer Success


Purpose:

The Bulk User Import Tool allows site administrators to create or updates multiple user accounts at once using a CSV upload. This feature is designed to reduce manual data entry and support faster onboarding for large teams.


Key Capabilities:

  • Create or update up to 500 user records per site

  • Map custom fields to user records (e.g., Department, Subsidiary)

  • Auto-detect duplicates and flag before processing

  • Validate fields (email, phone) before processing to ensure consistency

  • Auto-load records to CRM upon successful processing

  • Generate a processing report summarizing successes, warnings, and errors


Requirements:

  • Must be loaded by a Site Admin (customer), or Atlas Admin (Implementation, Support, etc.)

  • Data must be loaded in CSV file format

  • Unique email address for each user


Workflow:

  1. Navigate to Admin > User Management > Bulk Import

  2. Download CSV Import Template

  3. Populate required fields (First Name, Last Name, Email, User Type)

    1. Existing users will be pre-populated on the template and attributes can be adjusted here as needed

  4. Save CSV to computer

    1. Recommended naming convention: UserImport_SiteURL_Date

  5. Within User Management > Bulk Import, upload completed CSV

  6. Review the Validation Report

  7. Resolve any conflicts or errors if applicable

  8. Click Confirm Import button to begin processing


Validation Rules:

  • Previously suspended users will fail validation and must be added manually (see Add New User)

  • Roles must exactly match existing system roles available to customer users (Site Admin, Regular User, Restricted User)

  • Internal system roles can not be added via bulk import (Atlas Admin, Super Admin)


Common Errors:

  • Duplicate Email: email is listed twice on the import file

  • Invalid Role: name does not match system-defined role available to customer users

  • Invalid Headers: column headers do not match template
